What Is a Church CRM? And Do You Need One If You Already Use a ChMS?

What Is a Church CRM? And Do You Need One If You Already Use a ChMS?

A guest fills out a connection card on Sunday. On Monday the card sits on a desk. By Wednesday it has moved to a different desk. The next Sunday the guest does not come back, and nobody on staff knows why.

That is not a lazy church. That is a church with a database and no system.

A church CRM is the system.

What a church CRM does

CRM stands for customer relationship management. Churches do not have customers, so the term sounds wrong. The job is right, though. A church CRM keeps one record for every person who has contact with your church and shows where that person is in their journey with you.

The record starts at first contact: a website form, a text message, a connection card or a chat on your site. It follows the person through each step after that. First visit. Follow-up call. Coffee with a pastor. First small group. First chance to serve. Every step has an owner and a due date.

How a church CRM differs from a ChMS

A church management system (ChMS) such as Planning Center is the record of your congregation. It holds membership, attendance, giving, groups and families. It answers the question “Who are we?”

A church CRM answers a different question: “Who needs a call today?” It focuses on people who have not joined yet and on the next action for each one.

The two work together. Your ChMS stays the source of truth for members. The CRM moves people toward them. Digital Pastor connects to your ChMS (the Growth plan includes one integration), so a guest who becomes a member does not get entered twice.

Some ChMS platforms now run automatic workflow steps, such as sending an email or creating a task. That helps with the tasks your team already tracks. A guest who asks a question on your website at 9 PM on Saturday needs an answer in a different way, and the answer has to land in the same record your staff reads on Monday.

Five signs you need a church CRM

  1. Guest information lives in more than one place: cards, a spreadsheet and somebody’s email inbox.
  2. Follow-up happens only when a certain volunteer remembers.
  3. You do not know how many first-time guests visited last month or how many returned.
  4. Prayer requests and questions reach your staff through four different channels.
  5. A volunteer stepped down and took the follow-up process with them.

If two of those sound familiar, you have a follow-up problem, not a people problem. About 73% of first-time guests never return, and the most common reason is that nobody followed up.

What to look for before you choose one

Ask each vendor these questions and write down the answers.

Does every person get one record? A guest who texts, fills out a form and visits on Sunday should be one person, not three.

How does a guest get in? Look for automatic capture from your website, text messages, chat and connection cards, so no one retypes anything.

What happens in the first hour? A guest should receive a response in minutes, not days.

Where does a human step in? Good systems hand pastoral needs, such as prayer requests and hard questions, to a person right away. Automation should never answer those.

Does it connect to your ChMS? Double entry kills adoption.

Is the price on the page? Churches distrust hidden costs, and you should too.

Where AI fits

Digital Pastor puts an AI assistant in front of the CRM. It answers guest questions in under 60 seconds, at any hour, using what you teach it about your service times, kids programs and beliefs. It writes what it learns into the guest’s record. Then the follow-up sequences take over: a thank-you text the same day, an email with what to expect, and a reminder to your team on day three to make a personal call.

The AI handles speed. Your staff handles the relationship. That division of labor is the whole design.

What it costs

Digital Pastor Starter is $149 a month and includes the AI assistant, the core follow-up system, a template website and up to 1,000 contacts. Growth is $349 a month and adds a custom-trained AI assistant, text messaging, seasonal automations, one ChMS integration and up to 5,000 contacts. Full details are on the pricing page.

Your first step this week

Write down the path a guest takes from first visit to first small group. Mark every step that depends on a person remembering to do something. Those marks show you where a CRM earns its place.

Bring that list to a demo. We will walk through how each marked step gets handled and who on your team owns it.

Next Sunday, somebody new walks in.

Make sure they hear from you before they wonder whether it was worth it.

No contract to see it. Live in under a week if you want it.
