Effective Date: February 1, 2026 ยท Last Updated: February 1, 2026
Plain-language summary: We collect only what we need to run your church platform. We never sell your data or your church members' data. Your information is encrypted, securely stored, and only shared with service providers essential to delivering the product. You can request deletion of your data at any time.
When you create an account, start a trial, or contact us, we collect information such as your name, email address, phone number, church name, church size, your role at the church, and billing information (for paid accounts).
When you use our platform or visit our website, we automatically collect usage data including IP address, browser type, device information, pages visited, features used, and interaction timestamps. This data helps us improve the product and troubleshoot issues.
If you connect third-party services to Digital Pastor (such as a church management system or payment processor), we may receive data from those services as authorized by your integration settings.
We use your information to provide, maintain, and improve the Digital Pastor platform, including to process your account and subscription, deliver AI-powered chatbot and automation features, send transactional communications (account confirmations, billing notices, support responses), send marketing communications you've opted into (you can unsubscribe anytime), analyze usage patterns to improve the product, prevent fraud and ensure platform security, and comply with legal obligations.
We do not sell, rent, or trade your personal information. We share data only in the following limited circumstances:
This section is critical. As a church platform, we understand the sensitivity of member and guest data. We treat all church-related data with the highest level of care.
When your church uses Digital Pastor to capture guest information (via forms, chatbot conversations, or connection cards), that data belongs to your church โ not to Digital Pastor. We process this data solely on your behalf to provide our services.
We will never contact your church members or guests for our own marketing purposes. We will never share your church's member or guest data with other churches, organizations, or third parties. We will never use your church's data to train public AI models. We encrypt all member and guest data at rest and in transit.
If your church terminates its account, you may request a full export of your data before deletion. We will delete your church's member and guest data within 30 days of account termination, unless a longer retention period is required by law.
Our AI chatbot processes visitor questions in real-time to provide helpful responses about your church. Here's how that works:
We use cookies and similar technologies to keep you logged in, remember your preferences, understand how you use the platform (via analytics), and deliver relevant marketing content on our website. You can manage cookie preferences through your browser settings. Disabling certain cookies may affect platform functionality.
We implement industry-standard security measures to protect your data, including SSL/TLS encryption for all data in transit, encryption at rest for stored data, regular security audits and vulnerability assessments, access controls limiting employee access to customer data, and secure development practices and code review.
While we take security seriously, no system is completely immune to risk. We encourage you to use strong passwords and notify us immediately if you suspect unauthorized access to your account.
We retain your account data for as long as your account is active. If you cancel your subscription, we preserve your data for 30 days to allow for reactivation. After 30 days, we begin the deletion process, which completes within 60 days. Billing records may be retained longer as required by tax and accounting regulations. You can request immediate deletion by contacting us.
Depending on your location, you may have the right to access the personal data we hold about you, correct inaccurate data, request deletion of your data, export your data in a portable format, opt out of marketing communications, and restrict or object to certain processing activities.
To exercise any of these rights, email us at [email protected]. We will respond within 30 days.
If you are a California resident, you have additional rights under the CCPA, including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. We do not sell personal information.
If you are located in the European Economic Area, we process your data under lawful bases including contract performance, legitimate interest, and consent. You have the right to lodge a complaint with your local data protection authority.
Digital Pastor is not directed to children under 13. We do not knowingly collect personal information from children under 13. If a church uses our platform and a minor interacts with the chatbot, the church is responsible for obtaining appropriate parental consent in accordance with applicable laws. If we become aware that we have collected personal information from a child under 13 without appropriate consent, we will delete that information promptly.
We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email or through a notice on our platform. The "Last Updated" date at the top reflects the most recent revision. Continued use of Digital Pastor after changes constitutes acceptance of the updated policy.
